WorkOutLoud, Inc., a Delaware corporation (“WorkOutLoud,” “WOL,” “we,” “us,” or “our”), provides online community, communication, event, content, analytics, and related services. This Privacy Policy explains how we handle personal information when you use websites, applications, and services that link to it (collectively, the “Services”). A Community Sponsor may provide a separate privacy notice for its own activities.

1. Scope

This policy applies to visitors, account holders, community participants, event attendees, customer contacts, prospective customers, and others who interact with the Services. It does not apply to third-party websites or services that publish their own privacy policies.

2. WorkOutLoud and Community Sponsor roles

When WorkOutLoud processes personal information on a Community Sponsor’s documented instructions, the sponsor is generally the business or controller and WorkOutLoud is its service provider or processor. When WorkOutLoud determines why and how information is used for our own account administration, security, support, billing, direct business relationships, legal compliance, and product operations, WorkOutLoud may act as the business or controller.

A Community Sponsor and its authorized administrators may configure visibility, invite or remove participants, manage membership, moderate content, access or export community information, select integrations, and establish retention or privacy rules, subject to law and contract. Requests about sponsor-controlled information should ordinarily be directed to the sponsor; WorkOutLoud assists sponsors with verified requests where required.

3. Information we collect

The information collected depends on how you use the Services and how the Community Sponsor configures its community. Verified categories include:

• Information from users: names, usernames, email addresses, mailing addresses, telephone numbers, profile and professional information, credentials, interests, group memberships, event registrations, survey responses, posts, comments, messages, files, media, support requests, and feedback that users choose to provide.
• Information from Community Sponsors and administrators: contact lists, membership and organizational details, roles, account status, event information, directory information, and instructions used to configure and operate the community.
• Device, browser, log, and cookie information: IP address, browser, device and operating-system details, referring pages, login times, pages and features used, searches, and diagnostic logs.
• Connected services and vendors: information returned by integrations users or Community Sponsors enable, and information from vendors supporting identity, security, communications, analytics, payments, or support.
• AI-enabled features: when used, prompts or questions, relevant retrieved community context, generated outputs, feedback, safety signals, and technical logs needed to provide and support the feature.

Payment-card details may be collected directly by a payment processor rather than WorkOutLoud. Do not submit highly sensitive information unless the applicable feature and written customer agreement expressly authorize it.

4. How we use information

We use personal information to:

• provide, personalize, maintain, and support the Services;
• create and secure accounts and authenticate users;
• operate communities, directories, groups, feeds, events, surveys, messaging, notifications, and requested features;
• follow a Community Sponsor’s lawful instructions;
• process transactions, billing, and customer administration;
• communicate about accounts, services, security, policies, and support;
• provide and evaluate AI-enabled features;
• monitor performance, troubleshoot problems, prevent fraud and abuse, and protect users and the Services;
• measure and improve products and user experience;
• market WorkOutLoud products where permitted and honor opt-out choices; and
• comply with law, enforce agreements, and establish or defend legal claims.

5. AI-enabled features

When you use an AI-enabled feature, WorkOutLoud may process your prompt, relevant profile or community context, content retrieved to answer the request, the generated response, feedback, and safety or diagnostic information. Contracted model or infrastructure providers may process information on WorkOutLoud’s behalf to provide the feature. Do not place highly sensitive information in an AI prompt unless the applicable feature, Community Sponsor, and written agreement expressly authorize it.

6. Cookies and similar technologies

We use strictly necessary cookies and similar technologies for authentication, security, session management, preferences, and operation of authenticated community features. Some Community Sponsors configure Google Analytics to measure site and feature use. Details and browser controls are described in our Cookie Policy.

7. How we disclose information

We may disclose personal information to:

• the Community Sponsor and its authorized administrators;
• other participants according to community settings and your visibility choices;
• vendors providing hosting, storage, security, identity, communications, analytics, payments, customer support, AI, and other operational services;
• third-party integrations enabled by you or the Community Sponsor;
• professional advisers, auditors, or insurers subject to appropriate duties;
• a successor or other party involved in a proposed or completed business transaction; and
• law enforcement, regulators, courts, or other parties when disclosure is required by law or reasonably necessary to protect rights, safety, or security.

Service providers acting on our behalf are required to process information for authorized purposes. We may also disclose information at your direction or with your consent.

8. Content visibility

Public content may be viewed, copied, indexed, or reshared by anyone. Community-restricted content may be visible to authorized participants, the Community Sponsor, administrators, and moderators. Group-restricted content is limited to the group audience and authorized administrators. Direct messages and limited-audience communications are not public, but WorkOutLoud and authorized administrators may access them when reasonably necessary for support, security, moderation, legal compliance, or as described in applicable agreements.

No online service can guarantee that recipients will not copy or redistribute information they are authorized to view. Review the selected audience before sharing.

9. Retention

We retain personal information only as long as reasonably necessary to provide the Services, follow Community Sponsor instructions, maintain security and backups, comply with law, resolve disputes, and enforce agreements. Retention depends on the information’s type and sensitivity, community configuration, contractual requirements, legal obligations, and whether it remains necessary for an active account or legitimate business purpose. When retention is no longer necessary, we delete, deidentify, or securely isolate the information.

10. Choices and privacy rights

Depending on where you live and subject to legal exceptions, you may have rights to confirm processing; access information; obtain a portable copy; correct or delete information; withdraw consent; opt out of processing covered by applicable law; or appeal the denial of a request.

Submit access, correction, deletion, portability, opt-out, or appeal requests by emailing info@workoutloud.com or calling 1-800-819-1190. To appeal a denial, reply to the denial and state that you are appealing the decision. We may verify requests in a manner proportionate to their sensitivity. If WorkOutLoud processes the information only for a Community Sponsor, we may direct the request to that sponsor or assist it in responding.

You may update certain profile information in your account and unsubscribe from marketing emails using the link in the message. Necessary service or transactional communications may continue.

11. Children

The Services are not directed to children under 13, and we do not knowingly collect personal information directly from a child under 13 without legally sufficient authorization. If we learn that we collected such information without required authorization, we will take appropriate steps to delete it. Community Sponsors must not invite children or submit their information in violation of law or their agreement with WorkOutLoud.

12. Security

We maintain administrative, technical, and physical safeguards designed to protect personal information, taking into account its nature and the risks involved. No transmission or storage system is completely secure, and we cannot guarantee absolute security. Use a strong, unique password, protect your credentials, and report suspected unauthorized access to info@workoutloud.com.

13. Third-party services

Third-party integrations and linked sites have their own privacy practices. Review their notices before providing information. Enabling an integration may allow information to flow between WorkOutLoud, the Community Sponsor, and the integration provider according to the selected configuration.

14. Changes to this policy

We may update this policy to reflect changes in the Services, our practices, or law. We will post the updated version with a new effective date and provide additional notice of material changes where required. We will request consent if legally required.
